COVID Chronicle

Employee Communications Regular and frequent communications ensured our employees knew of all policies and impact on our system from the presence of COVID-19 in Maine. As a result, our employees also became sources of accurate information to the community. Regular communications included:

• Incident Command – Daily meetings (7 AM, seven days a week at the start, reduced over time as needed to the current two days/week), with representation from all member organizations and departments mobilized to respond to pandemic concerns. • Global Email – Weekly updates for all employees, including updates on system capacity, testing, off-site locations, effects of government guidelines on system operations, employee policies, emotional support, and general coping with the pandemic. Some members supplemented the global email with local information where appropriate.

• Coronavirus Intranet Pages (internal) – Each member organization intranet included a page for on-demand access to the latest information accessible from any computer using an employee’s log in – even when they were at home. Employees in positions of patient care were educated on all our Infection Prevention procedures. • Zoom Townhalls – Many members started holding frequent townhalls on Zoom to communicate live with staff and to let them ask questions.
